Refund Policy

This Refund Policy explains how cancellations and refunds work for paid ReqBrief purchases, operated by Danial Pourgolabi Ardakani(“we”, “us”). It supplements our Terms of Service. It applies to both of our paid products: Pro subscriptions (monthly or yearly) and the Single Brief one-time credit. ReqBrief also has a free tier, which involves no payment and so nothing to refund.

1. Who you buy from (Polar)

Paid ReqBrief purchases, both Pro subscriptions and Single Brief credits, are sold through Polar (Polar Software, Inc.), our merchant of record. When you buy, the transaction is legally between you and Polar: Polar processes your payment, collects and remits any applicable VAT or sales tax, issues your invoice, and processes refunds. Purchases are additionally governed by Polar’s Buyer Terms, which include Polar’s refund terms. Nothing in this policy reduces any right you have under those terms or under mandatory consumer protection law.

2. Your 14-day right of withdrawal (EU/EEA)

ReqBrief is offered for business and professional use (see our Terms of Service), and statutory consumer withdrawal rights do not apply to business purchases. If you nonetheless qualify as a consumer in the EU/EEA, you have a statutory right to withdraw from a distance contract within 14 days without giving a reason (Directive 2011/83/EU; in Portugal, Decreto-Lei n.º 24/2014). For ReqBrief this means:

  • You may withdraw within 14 days of your first subscription payment and receive a full refund of that payment.
  • If your subscription starts with a free trial, a new 14-day withdrawal period begins when the trial converts to a paid subscription (your first charge).
  • Because a subscription is a continuously supplied digital service, starting to use ReqBrief does not remove this right. If you used the service before withdrawing, a proportionate amount for the period of use may be deducted where the law permits.
  • For a Single Brief credit, the same 14-day period runs from your payment. An unused credit is refunded in full. If you have already spent the credit on a client interview, the digital content has been supplied and we may decline withdrawal for that credit, but we will still consider a refund under section 5.

Withdrawal refunds are processed by Polar to your original payment method, normally within 14 days of the request being approved.

3. Cancelling your subscription

  • You can cancel at any time, from your account’s billing settings or via the customer portal linked in any Polar receipt email.
  • Cancellation takes effect at the end of your current billing period: you keep full access until then, and you will not be charged again.
  • We do not provide partial or pro-rata refunds for the unused remainder of a billing period, except where required by law (see section 2) or under section 4 below.
  • Cancelling your subscription does not delete your account or your data; you can keep using any free tier or delete your account from the account settings.
  • Single Brief credits are one-time purchases, not subscriptions: there is nothing to cancel, and any unused credit stays on your account and does not expire.

4. Renewals

Subscriptions renew automatically at the end of each billing period. For annual plans, a reminder email is sent before the renewal charge. If you are charged for a renewal you did not intend:

  • Contact us within 14 days of the renewal charge, and
  • provided you have not materially used the service since the renewal, we will ask Polar to refund the renewal payment in full.

5. Refunds outside the statutory right

Beyond the rights described above, refunds are handled case by case. If something went wrong (a billing error, a duplicate charge, or the Service materially failed to work for you), contact us and we will look at it fairly. Polar reviews refund requests on the same basis, considering the nature of the product, the reason for the request, and usage. We may decline refund requests that show a pattern of abuse (for example, repeatedly subscribing, generating briefs, and requesting refunds).

6. How to request a refund

You can request a refund through either channel:

Approved refunds are returned to your original payment method by Polar, normally within 14 days.

7. Consumer disputes

If we cannot resolve a complaint together, consumers may refer the dispute to an alternative dispute resolution (ADR) entity. Details of the competent ADR entity are in our Imprint. This does not limit your right to bring a claim before the courts of your country of residence where mandatory consumer law provides for it.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via in-app notice or email at least 14 days before they take effect and apply on a forward-looking basis; they never reduce statutory rights attached to a purchase you have already made.
